Fixed Term Contract - Maternity Cover

Job Purpose:
  • Responsible for all Field Personnel travel and accommodation
  • Assist in mobilisation and demobilisation of Field Personnel
  • Responsible for the support and completion of daily administration duties for the Field Team
  • Second point of contact for Field Personnel
  • Work daily to ensure all schedules and planning within the department are up to date and working cohesively
Directly Reports To
  • Operations Field Supervisor
Internal Relationships
  • Field Technicians Level I, II, and III, Operations Team
External Relationships
  • Travel Agencies and Clients 
Main Responsibilities
  • Booking of travel and accommodation for Offshore Personnel – Please note this includes working outside office hours
  • Ensuring the offshore timesheets are entered into AX and are ready for approval - this includes calculation
  • Ordering PPE and Consumables
  • Processing holiday requests
  • Organising meetings and taking minutes for all pre-job and demobilisations
  • Ensure training and competence system is being utilised
  • Arranging any required visa, police checks, passport applications
  • Assisting in updating daily administration spreadsheets
  • Review Field Personnel expenses
  • Provide ad-hoc cover for reception
  • Ensure all electronic work pack documents are complete and received by Field Personnel
  • Invoicing for Field Personnel travel and accommodation
  • Assist Operations Field Supervisor in Team / Squad selections
  • Provide cover for Operations Field Supervisor, tasks include:
  • Main point of contact for Field Personnel, keeping them updated regarding job status
  • Completing daily administration tasks
  • Attending pre-job and demobilisation meetings
  • Team / Squad selections
Individual Quality and Safety Responsibilities:
  • To comply with STATS and Client quality, safety and environmental management systems and procedures at all times.
  • Ensure all accidents / incidents / near misses / hazards are immediately reported and relevant paper work is completed.
Internal Training Requirements:
  • Environmental Awareness

  • COSHH Awareness

  • Manual Handling

  • STATS Internal Courses – Basic Level

  • Vantage POB

Qualifications
  • Strong Educational background

  • Supervisory Training

Experience / Competence / Skills / Knowledge
  • Highly motivated with the ability to motivate others

  • 5 years admin experience or similar experience

  • Microsoft dynamics AX experience

  • Intermediate Microsoft excel and word training

  • Able to work on own initiative and as part of a team
  • Leadership qualities
  • Ability to be flexible in working practices
  • A positive attitude and pleasant manner towards fellow staff and suppliers
  • Good communication skills
