Job Purpose
As the regional focal point for the STATS Contracts function, you will collaborate closely with the commercial and regional teams to ensure compliance with legal standards and STATS commercial parameters. You will be responsible for:
- Ensuring full regional compliance with delegation of authority matrix (DOA) and STATS commercial procedures at all times.
- Reviewing and preparing contract qualifications in accordance with STATS business norms and legal requirements.
- Liaising with clients to expedite the closeout of contract exceptions, achieving the best commercial outcomes ensure always aligned with company standards.
- Escalating all deviations through the commercial function and ensuring formal agreements reflect approved terms.

Main Responsibilities
- Review, prepare, and record contract qualifications for all client contract terms (MSAs and standalone orders, change orders).
- Co-ordinate the negotiation process to resolve exceptions in accordance with commercial business norms and legal requirements.
- Review, qualify, and accept all call-off and purchase orders for the Americas Region in full compliance with company standards.
- Coordinate weekly regional commercial meetings, resolve or escalate any issues, and manage action items.
- Assist in the preparation of commercial budget summary models to compile job cost projections and cash flow models ahead of bids.
- Coordinate risk reviews and record and follow up all actions to verify and record close out.
- Review allocated quote documents in accordance with approved company templates.
- Co-ordinate all terms reviews with insurers to ensure full coverage on wording and compliance with advice.
- Provide formal notification to internal parties of accepted contracts or orders to authorize billing and proceeding with work and ensure a clear handover of contractual obligations.
- Regularly communicate with and report progress to the Commercial Director ensuring awareness of workload, ongoing activities, compliance, support needs, and global consistency.
- Update regional lead regularly on progress and status of workload.
- Review all supplier qualifications or exceptions to the STATS standard terms for purchase and provide a response based on STATS standard business norms. Escalate any issues or deviations in the commercial function to ensure timely resolution.
- Manage the contract management database and internal review process for existing agreements, follow up all due actions and highlight any gaps, or due items.
- Add all new contracts to the database and storage folders as soon as possible to ensure they are managed as per process.
- Store and record all contract qualifications at all revisions in the central commercial repository.
- Participate in tendering activities, preparing standard content and managing bid plan compliance through submission stages.
- Conduct all activities in full compliance with the influences procedures, group commercial procedures the STATS group delegation of authority matrix (DOA) and any other applicable company and regional processes.
- Promote compliance with company procedures and legal standards, escalating and recording process deviations or risks as identified.
- Ensure all activities meet full internal and client audit requirements for compliance and record keeping demonstrating compliance with Company guidelines, policies, ethical standards and procedures and legislation to minimize any potential audit exceptions, partner claims or court action.

Experience / Competence / Skills / Knowledge
- Minimum of two years of experience in contractual agreement, negotiation, drafting, reporting, management, and administration with applicable sector clients.
- Demonstrated multi-state knowledge and experience of contract law principles and contract administration in both the construction and energy sectors.
- Excellent verbal and written communication and negotiation skills.
- Demonstrates the ability to maintain standards and understand contractual risk.
Qualifications
- Bachelor’s degree is Business, Law, or related field.
- Legal qualification in at least one relevant US jurisdiction.
