Job Purpose:

The HR & Business Administration Coordinator is responsible for delivering effective support across both human resources and administrative functions. This role ensures smooth daily operations, compliance with policies, and contributes to a positive and productive workplace environment.



Directly Reports To:
  • APAC Regional Manager
along with:
  • Group HR Manager

INTERNAL RELATIONSHIPS:
  • All APAC staff including Management Team
External Relationships:
  • Educational bodies, Government departments and bodies, Clients, Auditors, HR (Agencies, Recruiters, etc.)
Main Responsibilities:
  • Support and take a lead role in HR administration across the APAC region, working in all areas of the recruitment life cycle from advertising through to onboarding.
  • Coordinate the advertisement of APAC vacancies internally and externally, ensuring compliance with local employment regulations and company recruitment policies.
  • Liaise with hiring managers through recruitment campaigns, facilitating interview scheduling and participation as required.
  • Administer and maintain accurate employee records, contracts, variations, and checklists, ensuring compliance with regional legislation and internal standards.
  • Support in the onboarding process to ensure new employees are effectively inducted and issued with mandatory training as part of their new starter pack.
  • Build strong working relationships with employees and managers across APAC, fostering collaboration and a positive workplace culture.
  • Assist with performance review preparation and participate in probationary reviews to ensure objective-based feedback and development planning.
  • Respond to queries from employees, managers, and external parties in a professional and timely manner, escalating where necessary.
  • Support HR and management in identifying, planning, and delivering projects and continuous improvements across the region.
  • Assist with absence monitoring, reporting, and maintaining records in line with company policies.
  • Ensure compliance with company regulations and regional legislation across HR and business administration activities.
  • Coordinate and manage employee recognition initiatives (birthdays, long service awards, etc.) and drive wellbeing, social, and team-building activities across the APAC offices.
  • Work with the Group HR Manager to review HR policy and procedures in region, making recommendations for change and improvement to ensure these remain up to date and fit for purpose.
  • Provide support in development and completion of the HR regional global plan, by offering recommendations and actively participating in the actions set being achieved.
  • Undertake additional ad hoc duties as required in support of HR and business administration functions.

Individual Quality and Safety Responsibilities:
  • To comply with STATS and Client quality, safety and environmental management systems and procedures at all times.
  • Ensure all accidents / incidents / near misses / hazards are immediately reported and relevant paperwork is complete.

  • Manual Handling
  • STATS Internal Courses - Basic Level

 

Qualifications:
  • CIPD qualification is desirable but not essential.
  • Management or supervisory training is an advantage but not essential.

Experience / Competence / Skills / Knowledge:
  • Oil and Gas experience is preferred but not essential.
  • Experience from a similar role.
  • Strong administration experience.
  • Good presentation and communication skills.
  • Excellent coordinating and organisational skills.
  • Competent at dealing with people at all levels.
  • Ability to prioritise.
  • Good IT skills and should have good knowledge of databases and spreadsheets.
  • Ability to develop robust work systems that can be tracked and monitored.
  • Budgetary experience.
